Privacy policy
This policy explains how ShowBuzzer (“we”, “us”, “our”) collects and uses personal data when you visit our site, create an account, run a show, or contact support. We process data in line with UK GDPR and the Data Protection Act 2018.
1. Who is responsible
ShowBuzzer is the controller for customer account and website data. For guest player names and in-show activity, the venue/organiser running the show is typically the controller; we process that data as a processor to deliver the live room.
Questions or requests: support.

3. Why we use data
- Contract — create accounts, run trials, deliver Host/Admin/player rooms, bill subscriptions
- Legitimate interests — secure the Service, prevent abuse, improve reliability, respond to enquiries
- Legal obligation — tax, accounting, and regulatory requirements
- Consent — where we ask for it (for example optional marketing)
4. Sharing
We do not sell personal data. We may share data with:
- Infrastructure and payment providers needed to host and bill the Service (for example card processors when Stripe is enabled)
- Professional advisers or authorities where required by law
- A buyer in the event of a business transfer, under appropriate safeguards
Processors act on our instructions and must protect the data.
5. International transfers
If data is processed outside the UK, we use appropriate safeguards such as UK adequacy regulations or standard contractual clauses where required.
6. Retention
- Account data — while your account is active, then for a reasonable period for billing disputes and legal claims
- Invoices — as required for tax and accounting
- Support tickets — until resolved plus a reasonable archive period
- Guest in-show data — typically for the life of the session/room, unless you retain show history in features we provide
- Security logs — for a limited operational period
7. Security
We use hashed passwords, session cookies, access controls, and hosting practices aimed at keeping data safe. No online service is perfectly secure; please use a strong unique password and protect your Admin/Host links.
8. Your rights
Under UK data protection law you may have the right to:
- Access, correct, or delete personal data
- Restrict or object to certain processing
- Data portability for information you provided
- Withdraw consent where processing is based on consent
- Complain to the ICO (ico.org.uk)
To exercise rights, contact us via support. We may need to verify your identity.
9. Children
The Service is aimed at venues and organisers. Account holders must be 18+. If you run a family or youth event, you are responsible for appropriate notices to parents/guardians and for how guest names are used on screen.
10. Cookies
We use essential cookies for authentication (customer and ops sessions). We do not use non-essential tracking cookies unless we add them later and update this policy.
11. Changes
We may update this policy. The “Last updated” date will change when we do. Significant changes will be highlighted on the site or by email where appropriate.
